How VAT is calculated and displayed
VAT Overview

Set VAT details in Settings → Billing & VAT
Enter VAT registration, VAT number, country, and default VAT rate to enable VAT calculations.

Generate an invoice
DuePilot calculates VAT automatically for supported UK B2B scenarios or lets you enter VAT manually.

Review VAT totals
VAT is shown separately and added into the final invoice total on the preview, PDF, and email summary.
Manual VAT
- Manual VAT overrides auto-calculation on that invoice
- VAT rate and amount are stored on the invoice snapshot
- VAT notes can be added for audit clarity
VAT Changes After Generation
- Updating VAT edits the stored invoice snapshot
- Client VAT number and country are snapshotted at generation for audit integrity
- Hours, line items, and rates remain locked to approved time
- Preview, PDF, and email reflect the latest VAT values for that invoice
ℹ️ Good to Know
VAT settings are only required if your organization is VAT registered. Otherwise, VAT will remain blank.
